Content Archival Policy

1. Purpose

This Website Content Archival Policy establishes guidelines for the systematic archiving, retention, and disposal of web content hosted on the official Bionest IASST website. The goal is to ensure that information remains accessible, accurate, and compliant with legal and institutional standards.

2. Scope

This policy applies to all content published on the Bionest IASST website, including but not limited to:

  • News and announcements
  • Events and programs
  • Reports and publications
  • Research and project updates
  • Media (images, videos, documents)
  • Contact and team information

3. Responsibilities

  • Web Administrator: Manages archiving schedules and ensures compliance with this policy.
  • Content Owners: Responsible for reviewing and identifying content for archiving or updating.
  • IT Team: Ensures that archived content is stored securely and is retrievable as needed.

4. Archival Criteria

Content is eligible for archival based on the following:

  • It is outdated or superseded by newer information
  • It is related to completed events, programs, or announcements
  • It holds historical or reference value for internal or public use
  • It has not been accessed or updated for more than 12 months (unless designated permanent)

5. Archival Process

  • Review: Quarterly reviews by content owners and the web team
  • Tagging: Eligible content is tagged for archival (e.g., using metadata or backend tools)
  • Transfer: Content is moved to a secure archival section, separate from live site
  • Access: Archived content remains accessible via an “Archived Content” section or upon request
  • Retention Period: Archived content will be retained for a minimum of 3 years, unless otherwise specified

6. Content Restoration

Upon request and subject to review, archived content may be:

  • Restored to the main site
  • Modified and republished
  • Provided in offline format (PDF, HTML snapshot)

7. Disposal of Archived Content

After the retention period:

  • Content no longer deemed necessary will be permanently deleted
  • A log of deleted content will be maintained for internal reference

8. Exceptions

Some content (e.g., policies, foundational reports, legal notices) may be designated as permanent and excluded from regular archival cycles.

9. Policy Review

This policy shall be reviewed annually by the Bionest IASST web committee or an appointed authority to ensure relevance and effectiveness.
